Mastering the BNI BGW Regional Awards: A Behind-the-Scenes Journey

 

As the proud event planner for the BNI BGW Regional Awards-a role I’ve held for four consecutive years-I’ve had the pleasure of orchestrating a seamless, vibrant celebration of business excellence across Berkshire, Gloucestershire, and Wiltshire 

 

Planning & Preparation

                  •               I lead every aspect of the event: from detailed menu curation and arranging live entertainment, to meticulously gathering menu choices and crafting a table plan for 120–185 attendees.

                  •               Collaborating with my dedicated team, we structure the charity auction-from planning delegate updates to designing the bespoke website that brings the awards’ spirit to life.

                  •               Strategic, regular planning meetings ensure we stay on track, keeping the winners’ names a well-guarded secret until the big reveal.

 

Day-of Coordination

 

On the event day, we transform visions into reality:

                  •               Overseeing styling and bespoke décor that aligns with the brand.

                  •               Ensuring every team member has full visibility of the event schedule, seating chart, and meal preferences.

                  •               Coordinating seamlessly with venue staff and confirming adherence to running order and timing with hosts, while managing live elements like the auction paddles and winner tracking.

                  •               Arranging photography (when budgets allow), breakout rooms for performers, and ensuring entertainers’ needs-from meals to health and safety compliance-are fully met.

 

Sponsorship & Charitable Impact

                  •               As a non-profit event, securing sponsorship is essential. My team and I actively source and manage sponsor relationships, ensuring that all auction proceeds benefit regional charities.

                  •               All event elements-from table scapes and on-brand menus, to auction programs-are thoughtfully integrated to match the sponsorship and brand vision, using my preferred supplier for printing.

After delivering the 2024 BNI BGW Regional Awards, I was honoured to receive the Regional Core Value Award in April 2024, a testament to my dedication, creativity, and commitment to delivering outstanding events that embody BNI’s values

 

Highlights from the 2025 Event

 

Held on 26 April 2025 at Wokefield Suite, Wokefield Estate in Reading, the awards brought together members for an elegant evening of recognition, entertainment, and philanthropy-featuring a silent disco, dancing, and community spirit.
